Booking terms and cancellations for cottages

KoiHu Adventures Oy (hereafter “KoiHu”) observes the following contractual stipulations when renting holiday cabins, canoes and other rentable items.Please note that separte terms are available for outdoor activity packages. These Terms are binding when the reservation is done via KoiHu web-pages at www.koihu.com.

These terms are binding for both parties after the customer has paid KoiHu Adventures Oy the reservation fee stated in contractual stipulations or the reservation fee and final payment in one go.

Booking and payment of cabin and activity equipment

The person who makes the reservation must be of age (at least 18 years old).

Cabin reservations and payment of reservation fee or reservation fee and final payment can be done on our home page after which a confirmation email for the reservation will be sent to the customer immediately. Cabin reservations can also be done using the feedback box on our home page, via email or by phone. In these cases, once the reservation has been completed KoiHu will send the customer the invoice via email (or by post), within a week after completing the reservation. The reservation is confirmed when the customer has paid the reservation fee by the due date or when the reservation fee and final payment has been made in one go. The reservation fee is 20% of the rent. Final payment is to be paid no later than five (5) weeks before the holiday begins. 

If the booked cabin reservation begins in 35 days (5 weeks) or less, the entire sum will be invoiced. This is automatically identified by the reservation system during the booking via the web-page. 

If the customer does not make payment by the due date, KoiHu reserves the right to cancel the reservation without a separate notice.

All invoice-related complaints must be made within 7 days of stated date of invoice. Invoice payments should be made as SEPA payments (IBAN-account number and bank’s BIC code) using the reference number stated on the invoice.

Please note that bookings made through other booking sites will always be subject to the terms and conditions of each booking site.

Reservation of canoes and other equipment

Reservations for canoes and other equipment can be done using the feedback box on our home page, via email or by phone. Once the reservation has been completed KoiHu will send the customer the invoice via email within a week. In this case the reservation is confirmed when the customer has paid the invoice. The reservation fee is 20% of the rent. The final payment must be made at least five (5) weeks before the holiday begins. If the booking starts 35 days (5 weeks) or less, the invoice covers the full fee.

If the customer does not make payment by the due date, KoiHu reserves the right to cancel the reservation without a separate notice.

Cancellation and alteration of reservations

Cancellation must always be done in writing via e-mail to info@koihu.com or by post to the following address: KoiHu Adventures Oy, Huhuksentie 42, 81450 Huhus. Cancellation will take effect the day KoiHu receives the notification of cancellation. Cancellation done outside office hours (Monday to Friday 8.30-17, Saturday 10-18) will take effect on the following work day.

If the customer cancels the reservation before 21 days to the beginning of reservation, the reservation fee (20 percent of the rent) will be refunded. If the cancellation takes place within 21 days of the beginning of the reservation or during the reservation, none of the payments will be refunded with the following exceptions.

Exception: The customer has a right to a refund of their payment to KoiHu, apart from the reservation fees, if the customers themselves or a person living with them in the same household gets seriously ill, has an accident or dies. Cancellation notifications are to be sent to KoiHu as quickly as possible and the reason for cancellation needs to be proven in a trustworthy way, ie. a written note from a doctor. If the cancellation happens within 48 hours before the reservation is to begin or during the reservation, none of the payments will be refunded. If the cancellation is due to travel restriction set by the government due to Covid-18, KoiHu will return also the reservation fee. 

If the customer wants to alter the reservation (lodgings, date of vacation or the number of people), KoiHu reserves the right to collect 20€ as a service charge for the changes. Changes can be made when possible, for example if the reservation situation permits.

If the customer does not arrive at the holiday destination or arrives late, the customer has no right to a refund of the rent. If the customer terminates their reservation and leaves before the end of their lease neither compensation will be made for the remaining period of their lease nor does the customer have the right to a refund of the rent.

KoiHu’s right to cancel reservations

KoiHu reserves the right to cancel reservations in the event of force majeure. In this case the customer has the right to a full refund of the amount they have paid to KoiHu.

If the customer does not make payment by the due date or notification dates given, KoiHu reserves the right to cancel the reservation without a separate notice.

Staying in the cabin

The cabin is usually at the customer’s disposal from arrival day at 15.00 to departure day until 12.00 but if the situation arises, other schedules can be agreed upon.

The time and place for the handing over of keys will be agreed upon in greater detail in the week before arrival.

The rent includes access to the reserved cabin at the specified timing. The cabin rent includes furniture, cooking and dining utensils, cutlery, mattresses, blankets and pillows. In addition the rent includes one cubic meter (1m3) of firewood, the gas for the gas grill and free usage of the rowing boat. In the event that firewood runs out, the customer can purchase more in lots of half a cubic meter (1/2m3).

All the supplies in the cabin, such as dishwashing liquid, basic spices, toilet paper and kitchen towels are also included in the rent. However, in the event of any of these run out, please be kind enough to purchase what is needed for your use.

Linen and towels are not included in the rent. If they are needed, you can place an order for them during reservation or upon arrival. The customer is responsible for cleaning the cabin during the holiday, and also for the final cleaning of the cabin at the last day according to the instructions found in the cabin. Alternatively, the customer can buy the Final cleaning service during the cabin reservation process or later.

The cabin is to house no more inhabitants than the number of beds indicated in the description of the cabin or what has been agreed upon during reservation. All events where the number of people in the cabin might temporarily exceed the stated or agreed number must be agreed upon in advance with KoiHu. The use of a tent, caravan or rented equipment on cabin property must be agreed upon in advance with KoiHu. Smoking is prohibited in all interior areas of all the accommodations.

Bringing a pet to the cabin must be notified upon reservation.

Customer’s responsibilities and handing over of cabin on day of departure

The customer shall leave the cabin and return the keys by 12.00 on the day of departure unless otherwise agreed upon in writing. If the customer leaves at a different time, the returning of keys must be agreed with KoiHu well in advance.

The customer is responsible for all the damages they have caused in the cabin. KoiHu must be immediately notified of any damages in the cabin and the customer will be held liable for any damages caused to KoiHu.

The customer is responsible for the final cleaning of the cabin at the end of the vacation. Alternatively, the customer can book additional services for the final cleaning during the reservation or later on during the vacation.

The final cleaning includes washing of dishes, returning dishes to cupboards, taking the rubbish to the waste disposal area, collecting empty bottles and cans in bags, and returning all furniture to their original places. All perishable food items shall be removed or taken to the waste disposal area. All rugs and floors shall be swept and floors shall be cleaned with a wet mop. All tables and surfaces are to be wiped with a wet cloth and linen shall be aired outside. The yard and grilling area shall be tidied up. The final cleaning shall be done on the day of departure. If the customer has rented linen, or if they are included in the price of the rent, they are to be left in a neat pile on top of the bed.

Smoking is prohibited inside all cabins. The cabins and the areas surrounding them must be tidied up. In the event that KoiHu needs to re-clean the cabin or area before the arrival of the next guests due to poor cleaning, or the lack of it, or smoking inside the cabin, the customer will be held liable for any costs incurred.

Force majeure

KoiHu will not be held responsible to its guests for accidents brought about by unforeseeable events (force majeure) nor be accountable for causes of these events (eg. cessation of solar power or natural phenomenons such as algal blooms, or animals such as mice and insects) which are not brought about by KoiHu and resulting consequences which could not reasonably have been prevented by KoiHu.

KoiHu will also not be held responsible for accidents or consequences due to natural phenomenons.

Feedback and complaints

All feedback and complaints related to the holiday destinations should be directed to KoiHu without any delay after the incident has occurred and within the reservation period.

If no agreement can be reached, the customer can take up the issue with the Consumer Disputes Board. The customer must be in contact with the Consumer Rights Advisors in the Local Register Office prior to this. Due to Finnish legislation, if Consumer Rights Advisors have not been contacted, the Consumer Disputes Board reserves the right to not process the complaint.

If the customer does not notify KoiHu about any noticed shortcomings during the rental-period, the cabin is perceived to be in a good condition as stated in the contract. Defects reported after rental period cannot be jointly noted and KoiHu is therefore not liable to make compensations.
